Planning note

How much photography coverage do you need?

Start with simultaneous priorities, rather than an arbitrary number of hours.

Look for competing priorities.

One photographer cannot be in two rooms at the same time. Mark the moments that overlap: a keynote and sponsor demonstration, concurrent breakouts, or portraits during a networking reception.

Define the essential coverage windows.

Think beyond the session schedule. Registration, room details, leadership groups, receptions, and travel between venues all need time. Explain which moments are essential and which are optional.

Include portraits and editing needs.

A headshot station or rapid highlight delivery can change the staffing plan. Discuss these as separate requirements so the event coverage is not silently expected to absorb them. Plan portraits and corporate headshots alongside your coverage ↗

Ask for a recommendation with tradeoffs.

A useful proposal explains what the suggested hours and crew can cover, where gaps remain, and how added coverage changes the plan. Choose a workable scope around your highest priorities.
