Ask who needs images, and when.
A social media colleague may need a few photographs while the event is happening. A communications team may need a recap selection the following morning. An archive can have a different deadline.
Distinguish three needs.
- Event-day selections: a small set of agreed priority images for time-sensitive communications.
- Next-day highlights: a curated selection with a specific recipient and deadline.
- The finished gallery: the edited collection representing the agreed coverage.
Plan the workflow before the event.
Confirm how images will be selected, edited, transferred, reviewed, and received. Very tight deadlines can affect staffing and editing arrangements, so discuss them before booking.
Make the quote specific.
Document the agreed deadlines, approximate highlight selection, delivery platform, usage, and any rush charges. An early selection is not a promise that the full gallery will be ready at the same time.
